How to charge for advance payment on a reservation

You can require the patient to pay when booking. This reduces no-shows: if they don’t pay, the appointment is not confirmed.

Steps

  1. Open Your Business → Services and edit the service.
  2. Enable advance payment and confirm that it has a price.
  3. Save.

What happens when booking

  • Upon confirmation, the patient is sent to the payment gateway (Stripe).
  • If the payment is successful, they see a confirmation page and the appointment enters your calendar.
  • If they cancel the payment, they see a warning and the appointment is not created.
  • Free services or those without advance payment are confirmed directly, without going through the payment gateway.

If the patient has a package

An active session package wins over advance payment. The appointment is booked by drawing one session from the package and nothing is charged, even when the service requires advance payment.

The order is always the same:

  1. An active package with sessions left → draw one, charge nothing.
  2. No package and the service requires advance payment → invoice and pay link.
  3. Neither → the appointment is booked directly.

It is resolved per booking, not per patient: a family can hold a package for therapy and pay separately for an evaluation.

Tip

Reserve advance payment for high-demand services or first appointments: that’s where no-shows hurt the most.
