How to move from the DIAN's free software to DeusRex

If you already invoice with the DIAN’s free software, you are not starting over. You keep your NIT, your resolution, your prefix and your numbering — the only thing that changes is the program that issues the invoices.

This is the step people get wrong most often, and the one that costs most:

Tell DeusRex what number you are on. Your resolution states the range you are authorized to use, not where you stopped. Without it DeusRex would start at the first number in the range and the DIAN would reject every invoice with “Documento procesado anteriormente”.

Before you start

  • Have your numbering resolution (form 1876) to hand.
  • Find your last invoice number. It is in the DIAN portal, under the electronic-document search: the Nº documento column of the most recent row, e.g. FE143.

Steps

  1. Fill in your tax details — see How to fill in your organization’s tax details (DIAN). You can upload your RUT and we complete them for you.
  2. Register your resolution — see How to register your DIAN numbering resolution.
  3. In Last issued number, type the number of your last invoice: from the example FE143, type 143. The number only, no prefix.
  4. Save. The next invoice you issue will be 144.

If you have never invoiced under that resolution, leave the field empty. DeusRex will start at the first number in the range.

You do have to change the operating mode at the DIAN

Leaving the free software is not automatic: you have to tell the DIAN that a different program now issues your invoices.

In the Habilitación portal (catalogo-vpfe-hab.dian.gov.co), go to Registro y habilitación → Documentos electrónicos → Factura electrónica, choose Software de un proveedor tecnológico and select Soluciones Alegra S.A.S.. The DIAN generates a TestSetID; paste it under Settings → Electronic Invoicing (DIAN) → Enablement and press Send test set.

Until you set the start date in the portal, you keep invoicing with the free software. The switch does not cut you off overnight.

You do not need a new resolution

A resolution belongs to you, not to the program. It works the same in the free software and in DeusRex, until the range runs out or the validity expires.

You do need to have associated your prefix with our technology provider in the DIAN portal — see How to get enabled with the DIAN. That step is what tells the DIAN who may transmit your documents.

What happens to your earlier invoices

They stay where they are. Invoices issued with the free software are already filed with the DIAN and remain valid; DeusRex neither replaces nor resends them. Download them from the DIAN portal if you want your own copies.

Tip

Issue one real invoice on the first day and confirm the DIAN accepts it and that its number is the one you expected. That is the only way to prove the numbering stayed continuous.
